This article covers splitting of sales data into different Xero ledger accounts.
The Xero Integration setup guide outlines the various steps to follow in order to get going with Xero. It covers the basic default settings such as sales, payment and purchase ledger account settings. Those default settings can be augmented to sync payments and sales to different accounts depending on tax rates, payment gateways and so on. The following article outlines the steps to follow to sync your sales data to different Xero accounts.
Add a sale sync rule
Follow the steps below to add a sales sync rule to your Xero integration.
- Under Integrations
- Click View Settings under the Xero integration tile
- Under Sales accounts section, click Add Sales Sync Rule
The table below outlines the sale sync rules supported as of today:
|Sync rule name (condition)||How it works|
|Sales from store||Sync sales data into different ledger accounts depending on the sale store the order is originating from. A common usage of this rule is to sync different invoices from different Shopify stores to different leger accounts.|
|Tax percentage on invoice items||Sync sales data into different ledger accounts depending on the tax rate assigned the invoice line item. This rule is useful for splitting tax exempt line items from those with a non nil tax rate. This rule is commonly used to split out international (VAT free) sales from local sales.|
|Invoice landed costs such as shipping & handling||This rule is commonly used to split out sale landed costs such as shipping and handling into a separate ledger account|
|Sales by Product Type||Sync sales data into different ledger accounts depending on the product type sold|
|Sales by Product Category (Tag)||Sync sales data into different ledger accounts depending on the product category sold|
|Sales from channel||Sync sales data into different ledger accounts depending on source of the sale order.
This rule is commonly used to split out Shopify sales made online versus those made via a POS system.
This field can be set to any supported Shopify order SourceName. The most commonly used values are:
web: identifies sales made via the online store.
pos: identifies sales made via a POS system.
Remove a sale sync rule
To remove a sale sync rule:
- Go to Integrations
- Click on View Settings on the Xero integration tile
- Under Sales Accounts, find the rule you want to delete
- Click on Remove
